Scheduling Fourth Year Rotations

Fourth Year Clinical Rotations Calendar

Students must submit a draft schedule for the OMS4 academic year by March 1st of their third year.

The Interactive Preceptor Database of fourth-year rotations is searchable by specialty, site location, or preceptor. Students can utilize this database to learn more about potential rotations offered at all the SWAGÊÓƵcore sites. Please note that the is not an application service, nor does it guarantee availability. Ìý Students should reference this database as they create their draft schedule for their OMS4 year if they hope to do rotations at other SWAGÊÓƵcore sites besides their own.

Upon submission of the OMS4 draft schedule, Clinical Affairs offices and site coordinators will work together to set up the SWAGÊÓƵcore site rotations for you. Students are responsible for applications for audition rotations at away locations.

Class of 2022Ìý4th Year Clinical Rotation Schedule (DOC)

After submitting draft schedules to the Director of 4th Year Rotations, students should wait until April 1st to email site coordinators with questions about rotation availability. Please note that these SWAGÊÓƵcore sites require additional steps to secure rotations:

  • Carilion Clinic- Roanoke: All rotations require application through VSLO (previously known as VSAS), except Surgical ICU and Sports Medicine.Ìý Note that each student is limited to 8 weeks of rotations at this site. VisitÌýÌýfor more information.
  • Spartanburg Regional Medical Center: Rotations are scheduled through the SWAGÊÓƵCarolinas Medical Education Office

Applying for Fourth Year Audition Rotations

Acting Internships/Sub-Internships are often available at sites with residency programs.Ìý These audition rotations typically require an application through eitherÌý,Ìý, myClinicalExchange, or an individual application specific to the program. Students apply for these rotations in the spring of their third year; application dates vary by program.

Clinical Affairs will send your immunization history, CV, certificate of liability insurance and your Letter of Good Standing as necessary to sites. The Letter of Good Standing includes verification of background check, drug screen, HIPAA and OSHA training, Universal Precautions training and verifies permission to complete an elective rotation away from VCOM.Ìý If a site requires additional information (board scores, health insurance card, letter of recommendation, proof of mask-fit test, etc.), the student must provide those documents to the Director of 4thÌýYear Rotations.

Students should convey all audition rotation offers and confirmations to the Director of Fourth Year Rotations.ÌýÌýSometimes programs offer rotation dates that do not neatly correspond with the standard SWAGÊÓƵcalendar.ÌýThese situations will be reviewed individually; students should contact the Director of 4thÌýYear Rotations to work through the options for their schedule.Ìý

Do not accept an audition rotation offer unless you fully intend to follow through with the clinical experience.ÌýAcceptance of a rotation offer is a professional commitment.Ìý If accepting an audition rotation offer involves cancelling or changing another rotation, be sure to seek advice from the specialty Chair and the Director of 4thÌýYear Rotations. All changes must be documented and processed using theÌýRotation Change Form. Rotation changes must be approved by the Associate Dean of OMS4/GME. Requesting and Scheduling Elective Rotations at Non-SWAGÊÓƵSites

If a student wishes to do an elective (non-audition) at a site that is not affiliated with SWAGÊÓƵand does not use VSLO or another application system, the student must personally contact those sites to see if a clinical rotation is possible.ÌýAdditionally, the student must fill out the Non-SWAGÊÓƵRotation Request form (see below) and get approval from the Director of 4thÌýYear Rotations and the Associate Dean of OMS4/GME.

Submitting this form is considered a formal request to accept you as a visiting student.ÌýFill out Part 1 of this form first and ask the site to fill out Part 2, including the preceptor’s signature and copy of her/his medical license. Once processed and approved, the Director of 4thÌýYear Rotations will notify the student and update the portal.

If a site utilizes VSLO for all rotation applications, students should just complete the VSLO application. VSLO eliminates the need for the Non-SWAGÊÓƵRotation Request form.ÌýÌý

Rotation Change/Cancellation Request Form

Rotation change requests are reviewed by the Associate Dean for Clinical Affairs and are approved or denied based on policy and requested availability.Ìý Changes and cancellations must be done with at least 30 days’ notice in the fall semester.Ìý

Be aware that accepting a rotation at any site is a commitment and can’t be canceled without approval from the Associate Dean for Clinical Affairs.ÌýÌý

This policy applies when a student has been accepted to a rotation and subsequently requests to change it.Ìý If the site must cancel the rotation for some reason, the Rotation Change Form is not needed, but students should update the Director of 4thÌýYear Rotations and any site coordinators involved.Ìý
